Privacy Policy

DreamGlyph Studios LLC ("we", "our", "us") operates the GameShelf desktop application for store owners and the GameShelf mobile companion app for players (collectively, the "Service"). This policy covers the Service specifically — for the DreamGlyph Studios website itself, see our site privacy policy.

1. Information We Collect

Account Information

  • Email address — used for authentication via Firebase Authentication, for both store owner and player accounts.
  • Display name — a user-chosen name stored in your profile.

Store Data (Store Owners)

  • Store profile: address, hours, photos, and supported game systems.
  • Staff accounts with role-based permissions (Owner, Manager, Staff).
  • GM/host roster: contact info, preferred systems, availability, and compensation details you enter.
  • Event calendar, registrations, and game-library data.
  • Financial data: revenue breakdowns, entry-fee collections, and GM compensation owed/paid.

Player Data

  • Event registrations and attendance history.
  • Character sheets you create, including which campaigns and stores they're linked to.
  • Favorited stores.

Payment Information

Store subscription billing and player entry-fee payments are processed by Stripe (entry fees via Stripe Connect, paid directly to the store). We do not store credit card numbers. Stripe provides us with a transaction identifier and payment status.

Error & Crash Reports

We collect anonymous crash reports and error data via Sentry, across both the desktop app and the mobile app. This may include device type, OS version, app version, and stack traces. No personal data (email, names, store financials) is included in crash reports.

2. How We Use Your Information

  • Provide the Service — authenticate you, run event scheduling and registration, and process payments.
  • Improve the Service — analyze crash reports to fix bugs and improve stability.

4. Data Storage & Security

  • All data in transit is encrypted via TLS/HTTPS.
  • Firestore data is encrypted at rest by Google Cloud.
  • Firestore security rules enforce data isolation between stores — no store can access another store's roster, registrations, or financials, and players can only read published event data and manage their own registrations/characters.

5. Data Retention

  • Account data — retained as long as your account is active. You may request deletion by contacting us.
  • Store and event data — retained as long as the store keeps it in the app.
  • Crash reports — retained in Sentry for 90 days.

6. Your Rights

  • Access — view your account, store, and event data within the app.
  • Deletion — delete events, registrations, and characters at any time. To delete your account entirely, contact us.
  • Data Export — the desktop app includes export features for financial and roster data.

7. Children's Privacy

GameShelf is not directed at children under 13. We do not knowingly collect personal information from children.

8. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be noted by updating the "Last updated" date above.
