Privacy Policy

DreamGlyph Studios LLC ("we", "our", "us") operates the ConScribe desktop application and ConScribe mobile companion app (collectively, the "Service"). This policy covers the Service specifically — for the DreamGlyph Studios website itself, see our site privacy policy.

1. Information We Collect

Account Information (Desktop App)

  • Email address — used for authentication via Firebase Authentication.
  • Display name — a user-chosen name stored in your profile.

Convention Data (Desktop App)

  • Convention names, dates, locations, and settings you create.
  • Game schedules, team member contact information (name, email, phone, Discord handle), and EO (Event Organizer) shift assignments you enter.
  • Team members are organized into groups and may have per-convention role assignments (GM, EO, Setup, Breakdown, Admin, Volunteer).
  • This data is stored in Google Cloud Firestore under your user account and group.

Access Codes (Mobile App)

  • The mobile companion app uses 8-character access codes (format: XXXX-XXXX) to retrieve convention schedules.
  • Codes are hashed (SHA-256) before storage; the plaintext code is not retained on our servers after initial validation.
  • Validated codes and associated convention/EO identifiers are stored locally on your device using encrypted storage (Expo SecureStore).

Cached Data (Mobile App)

Convention schedules are cached locally on your device (AsyncStorage) for offline access. This cache contains only data already visible to EOs via their access codes.

Error & Crash Reports

When enabled, we collect anonymous crash reports and error data via Sentry. This may include device type, OS version, app version, and stack traces. No personal data (email, names, convention content) is included in crash reports.

2. How We Use Your Information

  • Provide the Service — authenticate you, store and retrieve your convention data, and serve schedules to authorized EOs.
  • Improve the Service — analyze crash reports to fix bugs and improve stability.

Payment Information

License purchases are processed by Stripe. We do not store credit card numbers or payment details. Stripe provides us with a transaction identifier and the generated license key. See Stripe's privacy policy below.

API Access Tokens (Desktop App)

Users with the "API Access" permission may generate short-lived authentication tokens (1-hour expiry) for programmatic access. These tokens are standard Firebase ID tokens and are not stored by ConScribe.

4. Data Storage & Security

  • All data in transit is encrypted via TLS/HTTPS.
  • Firestore data is encrypted at rest by Google Cloud.
  • Access codes are hashed (SHA-256) before server-side storage.
  • Mobile access codes are stored in platform-encrypted storage (iOS Keychain / Android Keystore via Expo SecureStore).

5. Data Retention

  • Account data — retained as long as your account is active. You may request deletion by contacting us.
  • Convention data — retained as long as you keep it in the app. Deleting a convention removes its data from Firestore.
  • Access codes — automatically cleaned up weekly for expired conventions via scheduled Cloud Functions. Codes can also be manually revoked.
  • Crash reports — retained in Sentry for 90 days.

6. Your Rights

  • Access — you can view all your data within the app.
  • Deletion — you can delete conventions, games, team members, and access codes at any time. To delete your account entirely, contact us.
  • Data Export — the desktop app includes export features for convention schedules and team rosters. Users with API Access permission can also export data programmatically.

7. Children's Privacy

ConScribe is not directed at children under 13. We do not knowingly collect personal information from children.

8. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be noted by updating the "Last updated" date above.
